Key Employee Disclosure Form
Oak Valley College requires exempt full-time (salaried) employees to disclose outside employment, consulting, significant business interests, nonprofit activities, or gifts they have received through their affiliation with the College. This requirement ensures such activities do not create, or appear to create, a conflict of interest or conflict of commitment, or otherwise interfere with an employee’s responsibilities to the College.
Employees must submit a written request for approval to their supervisor prior to accepting any outside employment, engaging in significant external activities, or receiving gifts valued over $50. Disclosed activities and actual or potential conflicts may be referred to the Board of Trustees Executive Committee for final determination.
Not all outside activities constitute a conflict. The College encourages employees to contribute to their communities through service, including nonprofit board membership, volunteerism, or faith-based leadership. However, a conflict may arise when such activities:
Interfere with the employee’s ability to fulfill their duties and responsibilities to the College;
Compete with, or are adverse to, the interests of the College;
Involve College students, employees, or stakeholders in a manner that creates risk or undue influence;
Use or appear to use College resources, equipment, facilities, or intellectual property without authorization; or
Create the appearance of divided loyalty or impaired professional judgment.
Employees are expected to exercise sound judgment and proactively disclose situations that could reasonably be perceived as a conflict.
Employees are not required to disclose casual, short-term, or unpaid volunteer activities that do not reasonably present a conflict of interest or commitment (e.g., occasional event volunteering or informal limited-duration activities).
Failure to disclose required outside employment or activities, or failure to obtain prior approval, may result in disciplinary action, up to and including termination of employment.
